Switching IT Providers

How We Take Over From Your Current IT Provider

Switching Providers Without the Gap

Switching IT providers is where things usually go wrong: licenses stuck with the old provider, systems nobody documented, and an outgoing company that keeps billing long after you leave. Triton runs the same takeover process every time, scheduled in advance and documented at every step.

Most of the work happens in the first 30 days. Larger organizations, urgent projects or an uncooperative outgoing provider can take longer, and we tell you that up front.

Your Transition, Step by Step

Every new client moves through the same five stages, in this order.

Step 1Before you sign

A Free, Read-Only Security Assessment

Before you commit, we look at what you have. We review your Microsoft 365 tenant read-only, which usually takes about a day, and sweep your internal network through a VPN or a machine we drop off, which usually takes about a week. The sweep covers device configuration, firmware levels and network security.

An assessment is more than a scan, so we also see how you operate and walk your property. We look up instead of down: at access points, at cameras, and for hardware that should not be there or should be physically secured.

Step 2Agreement

One Digital Agreement, Every Service Itemized

You sign one digital agreement that lists every service you are buying, each on its own line: technical support and help desk as one line, then Sophos XDR, online backup and Microsoft 365 as separate lines. You see what each part costs, and tax applies only where Massachusetts law requires it.

Pricing is per user, per organization or a fixed monthly amount, depending on your business. Our standard term is 36 months, with termination for convenience at one year, and an onboarding fee, usually equal to one month of service, covers the transition work.

Step 3Start date

The 1st or the 15th, Announced in Writing

New clients usually start on the 1st or the 15th of the month. We set the date with you in advance, so your staff, your outgoing provider and your vendors all know when the change happens, and nothing is decided at the last minute.

On the start date we send your outgoing provider a demarcation letter, almost always by email, with a secure portal to upload configurations, documentation and ticket history. It sets a clear end date, which stops an old provider from billing you for subscriptions months or even years later.

Step 4First 30 days

Transfers, Discovery, Vendors and Protection

Licenses and subscriptions held through the old provider move to Triton. We document everything you have, from the network, email and phones to access points, switches and servers, including how each is configured and what you use it for, and we learn the long-standing problems nobody solved.

We contact your vendors so they know who manages your technology, and we install our monitoring and Sophos security agents. Larger organizations, urgent projects or an uncooperative outgoing provider can take longer, and we tell you up front.

Step 5Check-in and beyond

Day-to-Day Support, Then Regular Reviews

We review progress with you, then take over the day-to-day tickets. The timing depends on your size, your region and any urgent projects that come first. If you need help in the first few days, call us anyway: we start working tickets as soon as the demarcation letter goes out.

After that, we review your environment weekly, biweekly or monthly, depending on what you need, and document everything we learn. With 24 hours’ notice we set up a new employee’s accounts, often within a few hours, and new computers usually take about a week.

What to Expect in the First Month

We are candid about the start. On day one we do not know your systems, your vendors or your workarounds yet, and we will not get everything right out of the gate. We document in detail and learn fast, and most environments turn out to be less unusual than they look.

Where a previous provider left problems unsolved, we tell you what we found and fix them properly. Once the transition settles, it stays settled: 99% of our clients have been with us five years or more.

Switching IT Providers: Common Questions

Onboarding usually starts on the 1st or the 15th of the month, on a date we set with you in advance.

Most of the work happens in the first 30 days. Larger organizations, urgent projects or an uncooperative outgoing provider can take longer.

We send a demarcation letter that notifies them in writing and gives them a secure portal for configurations, documentation and ticket history. Some transfers go smoothly and some do not; an uncooperative provider can stretch the work over months, and the onboarding fee covers that work.

The demarcation letter sets a clear end date. We often see outgoing providers keep charging for subscriptions months or even years later, and the letter is how we stop it.

Usually, yes: typically equal to one month of service. It covers the paperwork, letters, partner transfers, documentation, agent installs and platform conversions.

Our standard term is 36 months, with termination for convenience at one year.

Yes. We start working tickets as soon as the demarcation letter goes out, before discovery is finished.

How Triton Delivers

The Sophos XDR Mandate

We deploy Sophos Firewalls as the non-negotiable perimeter standard. Any firm operating without synchronized endpoint protection is an insurance liability. Sophos Endpoint (EDR/XDR) is the mandatory internal security layer.

AWS Scalability

We deploy on AWS because downtime is not an option. When a critical system goes down, AWS support responds with enterprise urgency, not a ticket queue. Every dollar of downtime is a dollar your IT provider owes you an answer for.

The AI Autonomous Advantage

Axiom, Triton’s proprietary AI monitoring system, gives our engineers real-time visibility that off-the-shelf tools cannot replicate. It is not for sale, it is how we deliver.
